# Data Sharing & Confidentiality

### Access to Submitted Data

<summary>Who can see my assessment response?</summary>

Data is submitted to GRESB through a secure online platform. It can only be seen by current GRESB staff and, to a more limited extent, authorized personnel from GRESB’s third-party validation provider, Sustainability Assurance Services (SAS).

<summary>Who can see my asset-level data?</summary>

Participants must report performance data at the asset-level for the Energy, GHG, Water, Waste, Building Certifications, Energy Ratings, and Efficiency Measures aspects of the Real Estate Assessment.

This asset-level data (*provided to GRESB via the Asset Portal*) is **strictly confidential** and will not be passed on to any external party, be it investors or others, in any way that allows the data to be traced back to the asset **without the participant's explicit consent**.

Asset-level data is visible in a **traceable**, **non**-**aggregated** way in:

* [Asset Analytics](/completingassessments/data/asset-analysis/asset-analytics.md), which displays performance metrics (e.g., data coverage) for each asset.
  * Investor members can only **request** access to submitted asset-level data from **non-listed** entities.
* [Asset Benchmarking](/completingassessments/data/asset-analysis/asset-benchmarking.md) (formerly REAL Benchmarks), which provides asset-level energy and GHG emissions performance insights for each asset.

  * Investor members **cannot** request access to Asset Benchmarking.

Asset-level data is visible in a **non**-**traceable**, **aggregated** way in:

### Access to Assessment Results

<summary>Who can see my assessment results?</summary>

GRESB Scores are not made public. Results and data output of the GRESB Real Estate Assessment are only disclosed to the participants themselves and their investors.

* **Non-listed property companies and funds:** Must give explicit consent for GRESB Investor Members to see your data and GRESB Results. Non-listed Investor Members associated with the company/fund must request access to a non-listed participant’s Benchmark Report results. This gives the participant control over accepting or denying this request.
* **Listed property companies and funds:** All GRESB Investor Members with a listed subscription are granted automatic access to the Benchmark Report results of listed entities.

#### Access to Uploaded Evidence

Entities can disclose or withhold any documentation provided as evidence from GRESB Real Estate Investor Members. Each uploaded document has a checkbox, with the default set to ‘not available’. When opted into by the participant, this makes the evidence available to all investors with access to that entity. If the entity chooses to share its evidence with investors, it will appear in the Benchmark Report.

Note that it is impossible to share documents with investors on a case-by-case basis.

#### Access to Open Text Boxes

The open text boxes are included in the GRESB Benchmark Report.

<summary>Can I hide my GRESB results (<em>Grace Period</em>)?</summary>

First-year participants can submit the assessment without allowing GRESB Investor Members to request access to their results. This is referred to as a “Grace Period.”&#x20;

The Grace Period allows participants a year to familiarize themselves with the GRESB reporting and assessment process. First-year participants who wish to report under the Grace Period can select the option on an entity-by-entity basis from the settings section in the Assessment Portal.&#x20;

Historical trend sections of the Benchmark Report will not display results from the entity's Grace Period year.

#### When can I opt in or out of the Grace Period?

First-year participants may opt *in* or *out* of the Grace Period once, at any time. Opting in prevents the entity's Benchmark Report from being accessible to its Investor Members within the GRESB Portal.

Once the feature is disabled, it cannot be re-enabled.

The Grace Period is not available in the second year of participation, regardless of whether the participant used it in their first year or which components they completed.

GRESB still discloses the entity/fund’s participation *status* during its Grace Period (see *Disclosure of GRESB Participant Members section*).

### Participant Disclosure & Visibility

<summary>Who can see my participation status?</summary>

GRESB does not disclose a participant’s data to other participants as a default.

An entity’s participation status is disclosed in the following locations:

* **In the Benchmark Report**
  * **Non-listed entities:** The Entity & Peer Group Characteristics Table discloses the fund manager's name and the names of its private peer constituents.
  * **Listed entities:** The Entity & Peer Group Characteristics table discloses the entity name and the names of its listed peer group constituents.
* **In the** [**GRESB Participant Directory** ](https://www.gresb.com/nl-en/gresb-participant-members/)
  * **Non-listed entities:** GRESB displays the fund manager's name.
  * **Listed entities**: GRESB displays the entity name.

<summary>Can I see other participants' scores?</summary>

Before the start of the Real Estate Assessment, GRESB provides an opt-in option in the Portal that will disclose the entity’s name (public) or fund manager’s name (private), as well as the scores for the different components, to other participants in the GRESB Model of the Benchmark Report that also opted to disclose their name and component scores.

### Data Protection & Security

<summary>GDPR Compliance</summary>

GRESB is fully compliant with GDPR. The GRESB Privacy Statement can be found [here](https://www.gresb.com/nl-en/gresb-privacy-statement/). We also have specific internal policies, such as our Data Breach Policy and our Data Protection Policy, related to GDPR that we cannot share externally for security reasons. Please note that asset-level data does not fall under the incidence of GDPR because it does not contain any personal data.

GRESB’s data security measures and systems have been reviewed by an external expert and no issues were flagged. The GRESB website and the GRESB Portal are fully HTTPS/TLS encrypted. GRESB has strict and extensive policies on data security that cannot be shared externally for security reasons.
